Top tips on completing an application form
  • Follow instructions given about use of block capitals, black ink, own handwriting (if in doubt, use black ink).
  • Take your time and concentrate - it is easy to miss out words and sentences, even when copying. Presentation is immensely important - your form may be discarded if it's not neat and easy to read.
  • Your grammar and spelling should be accurate.
  • Don't cram too much text into a small box. Only include a separate sheet if the form states that this is acceptable.

Before you start writing
  • Read through the form very carefully from start to finish.
  • Take note of all the instructions about how to fill it in.
  • Make several photocopies of the form, to use for your first drafts.
  • Put the original form away safely.
  • Assemble all your information and decide what you want to write.

First draft on a photocopy of the application form
  • Compare what you have written with the job description - is it concise, clearly illustrating why you are right for the job?
  • Check how it looks - have you put the right information in the right places?
  • Draft a covering letter, unless there is a specific instruction not to do so. Application forms restrict the amount of information you can provide, although some employers allow you to continue on a separate sheet if you wish. The covering letter allows you to highlight your enthusiasm for the job and emphasise your strengths, which the application form may not have given you the opportunity to do.

Completing the original application
  • Transfer the information from the photocopy to the original form. If a box is not relevant for you, write N/A (not applicable) to show that you haven't left it blank accidentally.
  • If you think you may miss the deadline, telephone and ask if it is acceptable to FAX your form.
  • Don't forget to include your covering letter!

Electronic applications

When accessing vacancies through the Internet you may be able to download an application form. If you have been sent a paper copy you may be able to scan the form into your PC and fill it in on screen before printing it, or you might word-process information to fit the larger areas, stick it in and then photocopy it. Only attempt this if you can do it perfectly, otherwise it will look as if you have returned a photocopy rather than a final application.
